Recording is great for keeping track or for repurposing materials into content. Microsoft Teams has built-in tools for recording, but this isn’t accessible to everyone involved. So how do you record on Microsoft Teams? 

This article will show you how to record a Teams meeting on any device, no matter if you’re a host or participant. We’ll share how to manage meeting and recording controls and everything else you need. 

What is Microsoft Teams?

Microsoft Teams is a communication and collaboration app used by many organizations for text and video chat. The platform is designed to help teams stay organized and connected in one place. Users can create chat channels and individual chats to easily organize communication about their projects. The Teams video conferencing feature allows you to virtually host and record meetings and events.

Why Would You Record a Teams Meeting?

Meeting recordings are a great resource for any organization. They can serve as a reference point for important projects, or as training material for new employees. Below are just some of the ways to use recordings from Microsoft Teams:

Microsoft Teams Meeting Settings 

Microsoft Teams has many different meeting settings that let you control who can record a meeting and how they can do it. Not just anyone can start and stop recordings during a Teams session and there are limitations to what you can record as a participant. Keep reading to find the answers to some common questions about meeting settings in Microsoft Teams. 

Who Can Start or Stop a Recording?

Not anyone in a Teams meeting can start or stop the recording for an event. If you’re the meeting organizer or if you belong to the same organization as the meeting organizer, you’re granted meeting controls for recording. 

Can I Record a Teams Meeting as a Participant?

You can record a Teams Meeting as a participant if you’re part of the same organization as the meeting organizer. If you’re attending a meeting as a guest or as an anonymous attendee, you cannot use the recording features in Microsoft Teams. However, you can get around these restrictions with screen recording software or with your device’s built-in screen recording features.

Does Microsoft Teams Automatically Record Meetings?

Microsoft Teams does not automatically record meetings. Meeting recordings have to be started by meeting organizers and all meeting participants are notified when a recording begins.

How Do I Disable Recording in Microsoft Teams?

Regular users can’t disable recording in Teams, but an IT admin can change the settings of Teams to disable recording by taking these steps: 

Step 1: Log in to the Microsoft Teams admin center with your admin credentials.
Step 2: Choose Meetings from the menu on the left.
Step 3: From the dropdown, click Meeting policies.
Step 4: Under Audio and video, switch Allow cloud recording to Off.

How to Record a Team Meeting From Any Device

The easiest way to record a Microsoft Teams session is with the program’s built-in screen recording features. However, if you’re not the meeting organizer and don’t have recording permission, you may have to use screen recording software. 

Below, we’ll provide step-by-step guidance for how to record a meeting in Teams directly from the program and explain your recording options if you’re a guest without recording permission. 

How to Record a Microsoft Teams Meeting on a Desktop

The Teams video conference features let you host meetings and events that can easily be recorded. Teams only permits meeting hosts or meeting attendees from the host’s organization to record from within the Teams program. 

Everyone in the meetings will receive a notification that a meeting is being recorded once you start recording. It’s also important to know that you can’t create multiple recordings of the same meeting.

Follow these simple steps to start recording your Teams meeting from a desktop:   

Step 1: Open Microsoft Teams.
Step 2: Select Calendar from the menu on the left.
Step 3: Click Meet now and then Start Meeting to start a meeting or select a scheduled meeting to join.
Step 4: Click the More options (. . .) icon next to the camera icon.
Step 5: Choose Start Recording.

To stop recording, click the More options (. . .) icon again and select Stop recording. Channel meeting recordings save to SharePoint and every other type of meeting recording save to your OneDrive directory in the Recordings folder. 

How to Record Microsoft Teams Meeting on Mobile

It’s easy to use your phone as a webcam to host and record meetings on the go with Microsoft Teams. Make sure you have the latest version of the Teams app installed on your iPhone or Android or you may have trouble using the program’s recording features. 

Use these steps for how to record a meeting in Teams with a mobile device:

Step 1: Open the Microsoft Teams mobile app.
Step 2: Tap Calendar on the bar at the bottom of the screen.
Step 3: Join a scheduled meeting on your calendar or tap the camera icon in the upper right corner of the screen to start a new meeting.
Step 4:Tap the More options (. . .) at the bottom of the screen. 
Step 5:
Select Start recording

Tap the More options (. . .) icon again and select Stop recording when you’re finished recording. Just like with desktop recordings, channel meeting recordings save to SharePoint and other meeting recording types save to your OneDrive directory in the Recordings folder.   

Microsoft Teams Meeting Recording Expirations

All Teams meeting recordings have a default expiration of 120 days from the recording date. This is a housekeeping feature for Teams that helps clean up old, unused files. An IT admin can change the Teams default setting so that recordings expire sooner, later, or not at all.   

How to Record a Microsoft Teams Meeting as a Guest 

You can record online videos easily from Microsoft Teams, even if you don’t have recording permission. Most modern devices come with native screen recorders that get around recording restrictions. We’ll explain in the sections below how to record Teams meeting sessions from a desktop or mobile device if you’re not the meeting organizer or don’t have recording permission.   

How to Record Microsoft Teams Meeting Secretly on Windows (PC)

PowerPoint is a program that’s traditionally used for creating and giving presentations. However, the program also has a built-in feature that will allow you to easily record a meeting event on Teams even if you don’t have recording permission. 

Record the screen of your Windows PC using PowerPoint by following these instructions:

Step 1: Open PowerPoint.
Step 2: Choose Blank Presentation.
Step 3: Click the Insert tab and select Screen Recording on the right side of the screen.
Step 4: Press the Windows Key + Shift + F to record in full screen mode. For a partial screen recording, select the area of your screen to record.
Step 5: Click the Record button.    

How to Record a Teams Meeting Without Permission on Mac

All Mac systems come standard with QuickTime, a program for streaming and recording video. QuickTime has a feature that allows you to easily capture what’s on your screen. We’ll explain how to record Teams meeting sessions from your macOS with Quicktime.

Step 1: Open QuickTime Player.
Step 2: Click File and then choose New Screen Recording.
Step 3: Click on the Record button to begin.
Step 4: Click Record again to stop recording when you’re finished.
Step 5: Click File and then Save to choose where your recording saves to.

How to Record Teams Meeting Secretly on a Phone

Androids and iPhones include built-in recording capabilities in their operating systems as a standard feature. These native features provide the convenience of recording on the go, especially if you’re a meeting attendee without recording privileges. We’ll explain how to capture Teams meeting recordings on an Apple or Android device.  

Record Teams on an iPhone:

Step 1: Navigate to Settings and choose Control Center. Next to Screen Recording, tap the + icon.
Step 2: Navigate back to the Home Screen.
Step 3: Open the Control Center.
Step 4: Press and hold the gray Record button.
Step 5: Tap the Microphone button if you want to capture audio with your mic and choose where your recording is saved.
Step 6: Select Start Recording. Your screen recording starts after the three-second countdown. 

Record Teams on an Android:

Step 1: Go to Quick Setting and tap Screen Recorder.
Step 2: Select the audio and video settings for your recording and tap Done.
Step 3:
The first time you record you’ll have to grant permission for the app to access your device.
Step 4:
Tap Start Recording.
Step 5:
Press the Stop button to end your recording.
Step 6:
Access your recording in the Gallery or Photos App. 

What To Do When You Finish Recording a Teams Meeting

You can play, download, and share your recordings online. We’ll explain where Teams meetings are stored after you’ve finished recording them and how to play them back and share them with others. 

Where Are Microsoft Teams Recordings Stored?
Microsoft Teams recordings are now either saved to OneDrive or SharePoint. Channel meeting recordings save to SharePoint and the Files tab in a Team channel. Non-channel meetings are stored in the OneDrive directory of the person who started the recording in the Recordings folder.  

How to Play Microsoft Teams Recordings

Meetings become available to play after the scheduled end time for the meeting and can be accessed in a couple of ways, depending on the type of meeting it was: 

  • Click the Details tab from a scheduled meeting event and then select and play a recording.
  • Channel meetings can be accessed and played from the channel conversation.
  • When selecting a meeting recording, you can choose More actions (...) and then select to open chat meetings in OneDrive or channel meetings in SharePoint.

How to Share a Microsoft Teams Recording

You can share a Teams meeting recording using OneDrive or SharePoint. Meeting recordings can be downloaded and shared via these platforms just like with any other file type. You can download your meeting, share it directly from OneDrive or SharePoint, or get a link to email or share on social media.

How to Record on Teams and Share Recordings

You can start a Microsoft Teams meeting and record on any device using the program's meeting recording features if you’re the meeting organizer or a member of the organizer’s company. You’ll have to get creative if you want to record a meeting and you’re a participant without recording permissions. Step 2: Select Calendar from the menu on the left.

Step 5: From the menu on the left select + Add new to upload a custom background, Blur to blur out your background, or choose a preloaded Teams background.
Step 6: Click Join Now to enter the meeting with the background you selected.

Use these steps to change your background on mobile: 

Step 1: Open the Microsoft Teams mobile app.
Step 2: Tap Calendar on the bar at the bottom of the screen.
Step 3: Join a scheduled meeting on your calendar or tap the camera icon in the upper right corner of the screen to start a new meeting.
Step 4: Tap Background effects at the top of the camera preview window.
Step 5: Tap + Add new to upload a custom background, Blur to blur out your background, or choose a preloaded Teams background.

Why Can't I Record a Teams Meeting?

First, make sure you’re in a meeting and not a video call. You may not have recording permission if you’ve confirmed you’re in a meeting and still can’t record. Meeting organizers can change the meeting settings to control who can record. Ask your meeting organizer to check your role and recording permissions if you’re having trouble recording. 

Can You Record a Teams Meeting if You Aren’t the Host?

Yes, if you’re using Teams as part of a business or organization, you can record Teams meetings if you belong to the same organization as the meeting host. If you’re attending a meeting as a guest or from outside of an organization you won’t have recording permissions. 

How Do You Record a Video on Microsoft Teams?

If you’re the meeting organizer, you can record a meeting directly within the Teams program. You can use video recording software or your device's native screen recording features if you’re a participant and want to record but don’t have the correct permissions.
